JOB POSTING: Administrative Assistant


The Administrative Assistant is a seasonal part-time position with hours of work varying between 10 to 15 hours per week with some flexibility. Hours will be scheduled in conjunction with the Club Manager and may include weekdays, weeknights and weekends. There may be potential for increased hours in the future. The Administrative Assistant will report to and assist the Club Manager in providing high quality, consistent, friendly and timely services to our membership, rental guests and with general inquiries.

The selected candidate will:

• Enter league, bonspiel information and membership registrations into on an annual and/or bi-annual basis
• Maintain a membership spreadsheet to monitor league entries for teams, individuals and spares, member payments, member requests for volunteering
• Assist with scheduling volunteers as needed
• Maintain the content on including league management, event calendar, sponsors page, news articles, volunteer opportunities, league registration links and photo gallery
• Create and manage social media posts and conversations (Facebook, Twitter, Instagram) as well as our digital and social marketing efforts
• Create, distribute and manage feedback from club marketing materials, surveys, thank you letters and member newsletters
• Assist in the preparation of regularly scheduled reports, maintain the filing system and order office products as needed
• Organize own work, set priorities, work independently on a day-to-day basis, meet deadlines and balance multiple objectives
• Share responsibility with Club Manager for incoming calls and emails and provide appropriate follow-up
• Provide relief for staffing the club office on scheduled days and times in consultation with the Club Manager


• Attention to details and follow up, and can stay organized on top of own workflow and deadlines
• Professional phone etiquette and outgoing demeanor
• Experience in clerical/administrative support or equivalent
• Dependable, positive team player who can juggle multiple projects and has great written and verbal communication skills
• Tech savvy individual who can manage online registration processes, email marketing, website maintenance and social media engagement and conversations (Word, Excel, Publisher,, Facebook, Twitter, Instagram)
• Be a natural problem solver – if you don’t know how to do something, you know how to identify appropriate resources to find a solution
• Be flexible, honest and excuse free; we are a small team and we all wear many hats
• Preference will be given to candidates with curling knowledge and business operating practice in the not-for-profit sector
